1. About these terms

These terms form the contract between you and Jetwing Adventures for any tour, activity or travel arrangement you book with us. Please read them before booking; by booking, you confirm you accept them.

1.1 Who we are. "Jetwing Adventures", "we", "us" and "our" refer to Jetwing Adventures Pvt. Ltd, a company registered in Sri Lanka under number PV76382, licensed by the Sri Lanka Tourism Development Authority under Reg. No SLTDA/SQA/TA/02006, with its registered office at Jetwing House 46/26 Navam Mawatha, Colombo-02, Sri Lanka. Contact: info@jetwingadventures.com

1.2 Who "you" are. "You" means the person making the booking and every traveller named on it. The lead name confirms they are 18 or over, are authorised to accept these terms for the whole party, and will pass on all booking information to them.

1.3 What these terms cover. These terms apply to multi-day tours, day experiences, cycling holidays, bike hire, guided activities, accommodation and transfers arranged by us (together, "your Arrangements"). Suppliers such as hotels, airlines and boat operators may also apply their own conditions, which we will share on request.

1.4 Bookings through an agent. If you book through a travel agent or tour operator, your contract is with that company and its terms apply. Sections 6, 7, 8 and 10 (safety, equipment, children and conduct) still apply to you while you are on tour with us.

2. Booking and payment

The deposit, balance due date, payment methods and any handling fees for your booking are set out in your booking confirmation email, and form part of your contract with us.

2.1 Confirmation. Your booking is confirmed once we receive your written acceptance and the payment required by your confirmation email, and we confirm it to you in writing.

2.2 Late payment. If any payment is not received by the date in your confirmation email, we may treat the booking as cancelled by you and apply the charges in section 4.

3. Prices

The price you pay is the one shown on your confirmation, and it includes only the services listed there.

3.1 What is included. Your confirmation lists what is included, such as accommodation, meals, guiding, bikes, support vehicle, entrance fees and transfers. Anything not listed, including international flights, visas, insurance, tips, drinks and personal expenses, is not included.

3.2 Price changes before travel. We may increase the price of confirmed Arrangements only for reasons outside our control: government taxes or fees (including park and site entrance fees), fuel costs, or exchange-rate movements. We will tell you in writing and explain the reason. If the increase is more than 8% of the total price, you may cancel and receive a full refund of the money paid to us, excluding any card/bank handling fee.

3.3 Supplements. Festive gala dinners and peak-date supplements charged by hotels are passed on at cost and shown on your quotation.

4. Changes and cancellations by you

You may change or cancel your booking by writing to us; it takes effect on the day we receive your notice.
4.1 Changes. We do not charge a fee for changes. We will try to accommodate them but cannot guarantee availability, and any difference in price or extra cost from our suppliers is payable by you.
4.2 Cancellation charges. The cancellation policy for your booking is set out in your booking confirmation email. If your confirmation does not state one, the following charges apply, as a percentage of the total invoice value and based on the number of days before arrival: Days before arrival 61 or more 30–60 16–29 Standard period Peak period (15 Dec – 15 Jan and 1 Jul – 31 Aug) No charge No charge 50% 15 or fewer, or no-show 100% No charge 100% 100% 100%
4.3 Name changes. You may transfer your place to another person who meets the requirements of the trip, provided you tell us before departure. Any costs charged by our suppliers for the change are payable by you.

4.4 Unused services. No refund is given for services not used once your Arrangements have started, including days or activities missed through illness, late arrival, early departure or your choice not to take part.

4.5 Insurance. We strongly recommend insurance that covers cancellation charges (section 9).

5. Changes and cancellations by us

Adventure itineraries depend on weather, roads, water levels and wildlife, so we may need to adjust them; we will always put your safety first.

5.1 Minor changes. We may change routes, ride or walk distances, the order of activities, guides, vehicles or bikes (to an equivalent model) without notice. These are part of the nature of adventure travel and do not give rise to compensation.

5.2 Accommodation. If a confirmed hotel becomes unavailable, we will provide an alternative of a similar or higher standard.

5.3 Significant changes before departure. If we must make a significant change, such as a different destination region or a lower standard of accommodation for a substantial part of the trip, we will tell you as soon as possible. You may accept the change, take an alternative trip of similar value, or cancel for a full refund of money paid to us.

5.4 Cancellation by us. We may cancel your Arrangements, for example where a minimum group size is not met, or for safety reasons. Except in the circumstances in section 11.4, you may choose a full refund of money paid to us or an alternative trip.

5.5 Changes during the trip. Your guide may shorten, reroute or cancel an activity because of weather, flooding, road or trail conditions, wildlife activity, a participant's fitness or health, or official advice. Where reasonable, we will offer an alternative activity. No refund is due for changes made for safety.

6. Adventure travel, fitness and participation

Our trips involve physical activity in a tropical country, and you take part knowing this carries risks that careful planning reduces but cannot remove.

6.1 Inherent risks. Cycling, hiking, kayaking, safaris and other outdoor activities carry risks including falls, traffic, uneven or wet surfaces, heat, insects, wild animals and limited access to medical care in remote areas. Sri Lanka's roads and infrastructure can be less developed than you are used to.

6.2 Choosing the right trip. Each trip description sets out the daily distances, terrain and effort involved, and some trips also carry a difficulty grade. You are responsible for choosing a trip that suits your fitness, skills and experience, and for asking us if you are unsure.

6.3 Medical conditions. You must tell us at booking about any medical condition, disability, pregnancy, allergy or dietary need that could affect you or the group. We may ask for a doctor's certificate. We may decline a booking, or a person's participation, where we reasonably believe it would be unsafe.

6.4 The guide's decision. Your guide may stop you from taking part in any activity, or ask you to use the support vehicle, if they reasonably believe you are unwell, under the influence of alcohol or drugs, unable to keep pace safely, or putting yourself or others at risk. Their decision is final and no refund is due.

6.5 Participation forms. We may ask each participant to complete a health and participation form before some activities. If you do not complete it, you may not be able to take part.

7. Cycling and equipment

Bikes and safety equipment we supply remain our property, and you agree to use them with reasonable care and as your guide instructs.

7.1 Helmets. Wearing a helmet is compulsory whenever you ride, including on our bikes and your own. We provide helmets free of charge; you may bring your own.

7.2 Bike fit and checks. Please give us your height and preferred frame size at booking. Check your bike with the guide before each ride and report any fault straight away. Do not ride a bike you believe is unsafe.

7.3 E-bikes. E-bike riders must follow the guide's briefing on assist modes, battery range and braking. Range depends on terrain, weight and mode, so the guide may ask you to change mode or use the support vehicle.

7.4 Road rules. Sri Lanka drives on the left. You must follow local traffic laws, ride in single file where instructed, and follow the guide's route and pace. You ride at your own risk on public roads.

7.5 Your own bike. If you bring your own bike, you are responsible for its condition, transport packaging and insurance. We are not liable for damage to it in transit or during the trip, except where caused by our negligence.

7.6 Damage and loss. You are responsible for loss of, or damage beyond normal wear to, equipment issued to you, including theft where you did not lock it as instructed. We will charge the reasonable repair or replacement cost, up to the published replacement value of the bike. We may take a refundable deposit or card pre-authorisation for bike hire.

7.7 Other activities. Kayaking, boat trips and similar activities may be run by local partners. Life jackets must be worn on the water, and you must follow the operator's safety briefing.

8. Children

Children are welcome on many of our trips, and a parent or guardian on the trip is responsible for them at all times.

8.1 Supervision. Children under 18 must travel with a parent or an adult who has the parents' written authority. That adult remains responsible for the child's supervision, safety and behaviour throughout, including during guided activities.

8.2 Minimum ages. Minimum ages for each activity are confirmed for your specific trip. Younger children may join cycling trips by tag-along, child seat or support vehicle where available. Please give us each child's age and height at booking.

8.3 Child prices. Child rates apply to children aged 4 to 11 on the start date. Children aged 12 and over pay the adult rate.

9. Health, passports, visas and insurance

You are responsible for meeting the entry and health requirements for your trip, and travel insurance is a condition of booking.

9.1 Health. Get medical advice on vaccinations, malaria and dengue precautions and other health matters before you travel. We can share general information but cannot give medical advice.

9.2 Passports and visas. Each traveller must hold a passport valid for the period required by Sri Lankan immigration and the correct visa or electronic travel authorisation. We are not responsible if you are refused travel or entry because your documents are incomplete.

9.3 Flights. Please send us your flight numbers and times, and tell us of any change. Reconfirming flights is your responsibility.

9.4 Travel insurance. Every traveller must have travel insurance that covers medical treatment, emergency evacuation and repatriation, and personal liability. It must also cover the activities you will do, including cycling on and off road, e-bikes and water activities. We strongly recommend cover for cancellation and loss of belongings. We may ask for your policy details, and may refuse participation if you cannot show adequate cover.

10. Conduct, guides and responsible travel

We travel in small groups through villages, farmland and protected areas, and we ask every guest to respect the people and places that host us.

10.1 Behaviour. If, in the reasonable opinion of your guide or our staff, your behaviour is dangerous, disruptive or causes distress or damage to others, we may end your participation without refund. You will pay any costs that result, including your onward travel.

10.2 Damage. You are responsible for any damage or loss you cause to accommodation, vehicles or other property, and must settle it with the supplier before departure.

10.3 Wildlife and protected areas. Keep to marked routes and the instructions of guides and park staff. Do not feed, approach or disturb wildlife, and do not remove plants, animals or shells.

10.4 Local communities and culture. Dress modestly at temples and in villages, remove shoes and hats where asked, and ask before photographing people. Never pose with your back to a Buddha image.

10.5 Purchases. We do not guarantee the quality or value of items you buy during your trip unless they are listed on your itinerary.

11. Our responsibility and force majeure

We are responsible for providing your Arrangements as described and to a reasonable standard, and for proven negligence by us or the suppliers we engage for them.

11.1 What we are responsible for. Where we arrange your accommodation, transfers and activities, we accept liability for death, injury, illness, loss or damage caused directly by our proven negligence or that of our suppliers in providing those services.

11.2 What we are not responsible for. We are not liable where loss, injury or damage is caused by:
  • you or another member of your party, including failure to follow guide instructions or these terms
  • a third party not connected with providing your Arrangements, such as other road users
  • the inherent risks of an activity described in section 6, where we and our suppliers have taken reasonable care
  • events in section 11.4
11.3 Services we do not provide. Where we book only part of your trip, such as accommodation only, we act as a booking agent and are not liable for the supplier's performance. We are not responsible for excursions, transport or services you arrange yourself.

11.4 Force majeure. We are not liable for any failure or delay, or for having to change, curtail or cancel your Arrangements, because of events beyond our reasonable control. These include war, civil unrest, terrorism, epidemics, natural disasters, extreme weather and flooding, fire, strikes, government action and the closure of roads, parks or airports. If we cancel before departure for these reasons, we will refund money paid to us less non-recoverable costs already paid to suppliers, or offer an alternative trip.

11.5 Limits. Except as set out in section 11.1, we accept no responsibility for loss of or damage to baggage or property, or for injury, illness or death, or for any damages or claims however caused, arising directly or indirectly from accidents, delays, transport failures, strikes, war, force majeure or any other loss connected with your Arrangements. Nothing in these terms limits liability that cannot be limited by law.

11.6 Belongings. You are responsible for your money, valuables and baggage at all times, except where loss is caused by our negligence.

12. Complaints, privacy, website use and governing law.

If something goes wrong, tell us on the spot so we can put it right while you are still travelling.

12.1 During your trip. Raise any problem straight away with your guide or the supplier concerned, and contact our operations team on +94 77 004 6145. If you do not tell us during the trip, we lose the chance to fix it, which may reduce any compensation due.

12.2 After your trip. If a complaint is not resolved locally, write to us at info@jetwingadventures.com within 28 days of your return, with full details. We will reply within 14 days.

12.3 Your personal data. We use the information you give us, including health and dietary details, only to arrange and operate your trip. We share it only with suppliers who need it for that purpose, and with authorities where the law requires. See our Privacy Policy for details of your rights.

12.4 Photos. We may take photos on tour for marketing use. Tell your guide or us if you do not want to appear in them.

12.5 Website content. We take care to keep information on this website accurate, but descriptions, images and prices are a guide and may change. Links to other websites are for convenience; we do not control their content. All content on this website is owned by Jetwing Adventures Pvt. Ltd. and may not be copied for commercial use.

12.6 Communications. You agree that notices and confirmations we send by email meet any requirement for communication in writing.

12.7 Severability. If any part of these terms is found invalid, the rest remain in force.

12.8 Governing law. These terms, and any contract between us, are governed by the laws of Sri Lanka, and the courts of Sri Lanka have jurisdiction.
